Privacy Policy

Last updated: 8 October 2026

EduWave Village Pty Ltd(“EduWave Village”, “we”, “us”) runs the EduWave Village website at www.eduwavevillage.com and the EduWave Village Android app. This policy explains what personal information we collect, why, who we share it with, and the rights you have under the Protection of Personal Information Act, 2013 (POPIA). We are the responsible party for the information described here.

1. Who this policy is for

EduWave Village is for adults: parents and caregivers, facilitators, supervisors, therapists and educators who support children with access needs. Children do not create accounts. Information about a child is added by a parent or legal guardian, or by a facilitator or professional the parent has invited.

2. Information we collect

Account information

  • Your name, email address, password (stored in hashed form by our authentication provider) and the role you choose (for example parent or facilitator).
  • Your reading-mode preference (standard, dyslexia-friendly or high contrast).

Information about children

  • Name, preferred name, date of birth and profile photo, if you add one.
  • Support information such as a condition summary, support needs, interests, milestones, observations, support sessions, attendance and incident reports.
  • Files you upload, such as assessments, contracts and evidence documents.
  • Who has access to each child’s profile, and what they are allowed to do.

Information about a child’s health or disability is special personal information, and information about a child is personal information of a childunder POPIA. We only process it with the consent of the child’s parent or legal guardian, who adds the information or invites others to.

Facilitator work records

  • Hours worked and leave, field notes, supervision sessions and follow-ups, activity logs and uploaded contracts.
  • Facilitator access requests and invitations.

Messages and requests

  • Messages you send to other users in the app.
  • Resource suggestions you submit to the Resource Hub, and messages sent through our contact, app-tester and funder forms (name, email, organisation and what you write).

Location

If you allow it, the app uses your device’s location to show nearby schools, therapists and support services. Your coordinates are used for that search only and are not saved to your account. You can deny or withdraw location permission at any time in your browser or device settings and search by town instead.

Payments and subscriptions

Payments are processed by PayFast (courses) and Whop (subscriptions). We never see or store your card details. We keep your subscription status, plan and billing period, and a reference to the payment.

Usage information

We record basic in-app events, such as sign-ups, sign-ins and which screens are opened, together with your email address, to understand how the platform is used and to fix problems. We do not use advertising trackers and we do not sell personal information.

3. How we use information

  • To create and secure your account and provide the features you use.
  • To let the people you choose coordinate care and support for a child.
  • To show relevant support services and resources near you.
  • To process payments, manage subscriptions and give access to courses.
  • To send service emails, such as invitations, password resets and payment confirmations.
  • To respond to your messages and requests.
  • To keep the platform safe, prevent misuse and meet legal obligations.

4. Who we share information with

We share personal information only as needed to run EduWave Village:

  • People you invite. Facilitators, therapists, teachers and supervisors you give access to a child’s profile see what their permissions allow.
  • Supabase hosts our database, authentication and file storage.
  • Vercel hosts the website and app.
  • Resend sends our emails.
  • PayFast and Whop process payments; LearnWorlds hosts our courses.
  • Google Maps Platform and OpenStreetMap services receive search locations to find nearby services.
  • Google Gemini is used to help organise our public directory of schools and service providers. We do not send your account information or information about children to AI services.

We may also disclose information if the law requires it. We do not sell, rent or trade personal information.

5. Where information is stored

Some of our service providers store or process information on servers outside South Africa. When this happens, we rely on providers that are bound by data-protection terms giving a level of protection comparable to POPIA, as required by section 72 of POPIA.

6. How we protect information

Information is encrypted in transit. Access to child and facilitator records is controlled by database-level access rules, so users can only see records they have been given access to. Staff access is limited to what is needed to support the platform. No system is completely secure, so if we become aware of a security compromise affecting your information we will notify you and the Information Regulator as POPIA requires.

7. How long we keep information

We keep your information while your account is active. When you delete your account, we delete or anonymise your personal information within 30 days, except where we must keep certain records (such as payment records) for legal, tax or accounting purposes. A parent can also ask us to delete a child’s profile and everything recorded on it at any time.

8. Your rights

Under POPIA you have the right to:

  • ask what personal information we hold about you and request a copy;
  • ask us to correct or delete your personal information;
  • object to processing, or withdraw consent you have given;
  • lodge a complaint with the Information Regulator of South Africa (inforegulator.org.za).

Parents and legal guardians can exercise these rights on behalf of their children. To make a request, email info@eduwavevillage.com. To delete your account, see how to delete your account.

9. Cookies and local storage

We use essential cookies and device storage to keep you signed in, remember your reading mode and make the app work offline. We do not use advertising or cross-site tracking cookies.

10. Changes to this policy

We may update this policy as the platform changes. We will update the date at the top of this page, and for significant changes we will notify you by email or in the app.
